Minutes-Chelmsford Dog Association Meeting

Wednesday October 12, 2016

Chelmsford Police Dept. Community Room, 2 Olde North Rd. Chelmsford

Call to Order:  6:32 PM

*Roll Call

Present: Beth, Danielle C., Sarah, Vivian, Erik, Sandra, Joyce, Danielle B., Mary Donovan, Kathy Gould, Will Wagner

Not Present: Mary

*Motion to approve the minutes of August 29, 2016 as presented:  Erik                                                Seconded: Joyce

*Bow-Wow film Fest*

  LHS, Mary, Sandra & Joyce, Oct. 14 Lawn Auditorium, Crosspoint, 5PM setup

 

*Howl’ween*

-E-mail sent to Gary to open up the parking lot as we’ll need extra parking.  -The CDA will center tables around the shed

-Will has printed up a couple of signs explaining that dogs should be kept on leash in the main area-take your dog to the training area if you want off leash time.

-We have about 10 vendors to date

-Joyce has contacted Agway, (will contact Jones’ too) to see if they would donate mums, pumpkins etc. to use in pictures

-Vivian made a menu and prices for food (Beth, Erik and Bill will handle food and money)

-Follow up with Mary to see if she has contacted volunteers to help at Howl’ween

-Mary Donovan  from Mrs. Nelson’s Candy House-agreed to donate two $25 gift certificates, Vivian will pick up from her

-Erik will ask the K9 officer if he would be willing to do a demo

-Danielle B. is working on a finalized program

-Judges will be there at 12 noon

-Move a trash barrel into the training area

-Danielle C. will do balloon animals

-Vivian and Erik will pick up all of the food

-Will has a cat blow-up, a ghost blow up, some grave stones, spider webs and other decorations that he’ll bring

-More promotion on facebook

-Will will put a paid advertisement on Facebook to promote

-Anyone with extra tables, bring them

-Sandra will bring a helium tank and some balloons

 

 

*Rabies clinic*

  -December 10th from 9-12 at the pound

  -Vivian will update the flyer and get it to Joyce/Sandra for Friday’s event

 -Erik will talk to LHS to see if they want to come and sell clothes again

 -The CDA will have a table

 

*Photos with Santa*  

-December 4th  Town Holiday Prelude

-Mary usually does photos with Santa

-Joyce will be Mrs. Claus and help to move the kids along

 

*Winterfest*

-Vivian has advised Trish we are interested, but activity is needed.

-Will suggested snow painting in the agility area

                                -Erik will reach out to someone for sled dog demos

Farmers Market results – 2 memberships and 4 t-shirts sold

 Website news-Will-Vivian will get Will a list of sponsorships to put on the website

 DPAC-Erik- DPAC meeting will be attached to the November CDA meeting

 President-Vivian-Advanced Lawn Care quote-it’s too late to do anything with the lawn at this point-it will have to wait till the spring

-We have bricks for the large patio but no bricks for the small patio- Advanced can do the patio at the same time they do the lawn but we will have to wait till the spring.  We shouldn’t wait to book this till the spring because Advanced fills up

-Chip will do a sponsorship for a blue spruce tree up to $200- tabled till spring

-Does anyone want to help with trash?  Vivian is doing it M,W,F

-Kari will coordinate with Vivian to help, Will will try to help too

-e-mail from Evan via the Stanton Foundation –

The foundation does not want permanent sponsor recognition on sponsored items

Temporary recognition is fine

If we have promised recognition to sponsors, Stanton has a template we can use.

Discussion: Is there a difference between a gift and a sponsorship?

-Will received a letter from an attorney regarding the lady who was hurt at the park-it was forwarded to Paul Cohen- the town’s insurance has it now and it’s out of our hands

-waiting for a check from Hannaford for the “bags for a cause” event

 

*Old and Unfinished Business:

Continue bylaw discussion-tabled till next meeting

Lease Agreement discussion:

Any rental fees would go to the town, we’d have to set up a new revolving account

Will could set up a scheduling component on the website so people could book the training area by the hour(s), this component would have a cost to us attached

We’ll determine the rate, pass it on to DPAC and then on to the town

*If renters cancel within 1 week-100% refund, 48 hours-50% refund, less than 24 hours-no refund

*$100 security deposit

*$100 for full day rental

*$35 2 hours

*$50 4 hours

*up to 30 dogs at any single event
